Definitions
Event(s)
An event or challenge organised by Dementia UK, where participants engage in a specific activity (such as hosting a tea party, knitting, running, walking or playing golf), as outlined in the event description on the Dementia UK webpage. Participation in the event is voluntary and intended to raise funds for families facing dementia by encouraging participants to seek donations from their personal networks.
Online community
An official online space created or managed by Dementia UK where participants in certain events may connect, share experiences, receive updates and access support related to their event. Online communities may include, for example, Facebook Groups or Strava Groups.
Registration form
The online form provided by Dementia UK that participants must complete to officially join the event and claim their fundraising pack. The registration form collects necessary information such as the participant’s name, contact details, event date, marketing consent and agreement to the event’s terms and conditions.
The event
These terms and conditions apply to fundraising challenges organised by Dementia UK, known as ‘events’, such as Walk 30 Miles in September, March Dog Walking Challenge, Time for a Cuppa, Fans vs Dementia and other similar challenges.
You must register with Dementia UK to participate in an event (whether on your own behalf or on behalf of a minor) by completing a registration form. By completing and submitting a registration form, you agree to be bound by these terms and conditions.
You must be aged 18 or over to register for an event unless you have consent from your parent/guardian to take part. Your parent/guardian will need to contact the email address provided on the specific event webpage and/or registration confirmation, confirming (a) their consent to your participation; (b) to supervise your participation in the event; and (c) to accept responsibility for complying with these terms and conditions.
Dementia UK reserves the right to prevent you (and/or any member of your team) from participating in and/or completing the event for the benefit of Dementia UK if:
- Dementia UK determines that you fail to meet the event’s registration and/or health and safety requirements; and/or
- allowing you to participate in the event is likely to harm Dementia UK’s reputation; and/or
- your participation in and/or completion of the event means that Dementia UK is not operating in accordance with Dementia UK’s vulnerable donor policy
Events are designed so that you can complete them in your own time and in your own way.
There may be a Dementia UK-managed online community associated with the event. Access to an online community may be provided for events at Dementia UK’s discretion and is not guaranteed. By joining an online community, you agree to follow Dementia UK’s social media community guidelines and any platform-specific rules. Please note, other members of the online community may be able to view your profile, posts, comments and any information you choose to share within that space.
Participants are responsible for any information they post within an online community. Dementia UK may moderate online communities where the platform allows and may remove posts or comments that breach Dementia UK’s social media community guidelines or platform rules. On platforms where post removal is not possible, Dementia UK may take alternative action, such as restricting access to the online community or reporting content to the platform provider.
You may not set up your own online community linked to the event.
We provide information about each event on our website and/or forums and may provide fundraising materials for you to download. Copyright of all materials we provide is owned by (or licensed to) Dementia UK.
Liability
By submitting a registration form (whether for yourself, on behalf of a minor or on behalf of a team), you confirm that you understand the nature and scope of the event, including any possible risks, and that you are participating voluntarily and at your own risk.
You are responsible for ensuring that the environment in which you take part is safe and suitable for the activity involved. If you have any health conditions that may be affected by participation in the event, you should seek appropriate advice from your doctor before taking part.
Where the event involves physical activity, you acknowledge that participation carries inherent risks, including the possibility of accidents, personal or bodily injury (including death) and property loss or damage. By participating, you confirm, to the best of your knowledge and belief, that you are healthy and fit to take part in the event.
You agree that Dementia UK or any of its representatives will not be liable for any losses that might occur as a result of your participation in the event except losses arising from Dementia UK’s own negligence which cannot be excluded by law.
Dementia UK does not provide any insurance, whether life or medical or liability, for any illness, accident, injury, death, loss and/or damage that may arise in connection with the participation in the event by you, except as required by law. You are advised to obtain such insurance yourself if required or desired.
If taking part in a Dog Walking Challenge, you acknowledge that participation of your pet(s) in the event is entirely your decision and responsibility.
Fundraising
You agree to raise funds for Dementia UK and to ensure this money is paid to Dementia UK as soon as possible and no later than three months after the event end date. Any money raised is held on trust for Dementia UK.
You agree that in carrying out all fundraising for the benefit of Dementia UK, you will:
- only use lawful means to fundraise and will not do anything which harms or is likely to harm Dementia UK’s reputation
- make it clear to potential sponsors that their donation in support of you taking part in the event is a donation to Dementia UK
Free items, competitions and prizes
Dementia UK may offer free items or fundraising incentives as part of an event. These items are subject to availability, may vary between events, and are not guaranteed. Dementia UK reserves the right to withdraw or substitute any item at its discretion.
Where fundraising incentives are offered (for example, receiving an item after fundraising a specified amount), these will be fulfilled only once the required fundraising threshold has been met and verified by Dementia UK.
If an event includes a competition, prize draw or giveaway, separate terms and conditions will apply. Participation in any such promotion will be subject to those additional rules.
Your data
Dementia UK will use the personal information in your application to:
- communicate with you about the event via email, text and post
- where requested by you, send your fundraising pack and any other relevant materials to you in the post
- understand your motivation for taking part in the event
- ask if you would like to receive communications from Dementia UK during and after the event has taken place
Dementia UK will process your personal information in accordance with its privacy notice, which explains how your data is collected, used and protected. You can update your communication preferences at any time by contacting the Supporter Care Team (supportercare@dementiauk.org).
